Start at the bank, not the P&L
A profit and loss statement built on unreconciled accounts is fiction. The first pass is always bank, credit card, and loan reconciliations, period by period, back to the last month that genuinely tied out. That establishes a floor you can trust and usually surfaces the real problem — duplicate transactions from a re-linked feed, transfers recorded as income, or a merchant deposit booked gross in one month and net in another.
Fix the balance sheet before the income statement
Undeposited funds sitting untouched, an accounts receivable balance full of invoices already paid, loan balances that never amortized, and an opening balance equity account that was never cleared: each one distorts profit somewhere. Clearing the balance sheet corrects the income statement almost as a side effect, which is why cleanup done in the other order tends to get redone.
Rebuild the chart of accounts around decisions
Most drifted files have accumulated near-duplicate accounts nobody chose deliberately. The fix is to collapse the chart down to the accounts you actually use to make decisions, then push detail into classes, locations, or items where you need to see profitability by job, service line, or property. This is where a cleanup stops being remedial and starts producing better reporting than the business had before.

A cleanup covering a single year with moderate volume is usually completed in two to four weeks alongside your current-month bookkeeping. Multi-entity files, multiple years, or heavy transaction volume take longer.
